ClickUp 3.0 - A Game-Changer in Project Management

clickup Nov 20, 2023

In the world of project management, ClickUp has always been a standout. With its latest update, ClickUp 3.0, they've taken their game to an entirely new level. In this blog post I will highlight some of the new features of this cool tool that I believe have made it a true 'game changer' in project management tech tools.

Now for those who currently use ClickUp and have been waiting patiently, or impatiently, for this newest release version 3.0 it has been a long, long wait. To include everything they do into the one app is not an easy ask but in todays world of managing our businesses and our own personal time, it's such a necessary ask to remove the endless multiple apps to use for different types of tasks and processes.

Let's start with an overview of what ClickUp includes:

  • Task Lists (aka To Do's and Reminders)
  • viewing these tasks in multiple views: Calendar, Board (aka Kan Ban), List, Gantt, Workload and more
  • Sub Tasks (viewable in multiple ways with a click of a button)
  • Checklists on your tasks that can be saved as templates and re-used for various tasks or the same type eg. Checklist of the same to do's when creating a blog post, or a podcast.
  • Dashboards to view your data analytics and other info for you, your team or customers
  • Documents to record more detailed info in with sub-pages, tables, etc.
    • You can then link a document to a task and have an easy way to users of task to reference the document when necessary.
  • Templates to get your started quickly, and show you what ClickUp is capable of

I could go on, but I think you get the gist, that ClickUp is special and more than just a simple project management tool. I've been using ClickUp since I first heard of it in early 2021 and haven't looked back. Now, let's discuss the new, awesome features that are making ClickUp 3.0 this new game-changer of an app.

1. Elegant Design & New Home Layout

Aesthetics of any tech tool is hugely important to me, and especially with project management tools. I will quickly move on from a tool if I don't like the look, the feel or the navigation is clumsy with too many clicks to achieve a step.

ClickUp 3.0 is a much cleaner, more intuitive workspace than it's previous version. The design is not just about looks - it's about making the tool easier and more enjoyable to use. I'm loving the new look and ease of navigating around the app. It's so much faster to get things done than it was before.

This is easily shown in the new Home feature. In the previous version the Home was not really useful to me as I couldn't make it the look I wanted, or add the items I wanted to see, or even filter the task list of items that was useful to me.

However, this new personalised dashboard view allows me to prioritise items just the way I like them. The layout is editable, so I can add or remove boxes of data and I can filter the list of tasks to suit me and my priorities. The ability to re-size the layout (even just a little) has made the page so much more useable to me and I find it's now my 1st view when I open ClickUp each morning and then I move into getting all the things done!

2. Reliability and Performance

The foundation of any good project management tool is its reliability and performance. ClickUp 2.0 had some issues around it's reliability and performance for quite a few users, according to the Facebook Group discussions I followed.

For me personally, I didn't experience the same issues discussed, but it was sometimes slow to update a task with an automation once you created the task, or updated it and having the refresh the app just to see the change was frustrating.

ClickUp 3.0 is much faster and I haven't experienced any issues with my automations, but it is still early days of the release of this vesrion. I will be monitoring and will add an update if I find that has changed. From being a user for almost 3 years, I can say ClickUp were heavily invested on improving the performance and the reliability and they won't want to release a version that doesn't deliver. So I'm confident ClickUp 3.0 is going to deliver what is says on the box!

3. Inbox 3.0

One of the standout features of ClickUp 3.0 is the revamped Inbox. It displays notifications in real-time and organises them by priority. This feature helps users stay on top of their tasks more intuitively. No more sifting through endless notifications - with Inbox 3.0, you'll see what's important right away.

As a solopreneur I don't have a team or customers that I share ClickUp with, so the notifications of team members comments, adding me to a task or document, or incoming emails just isn't important to me at this time. But in saying that, on reviewing this new Inbox 3.0 I can see the benefit for teams on the ease of communicating with each other and not having a jumble of an inbox.

4. Universal Search

Finding files across different apps and devices has always been a 'nice to have' but never an available option from project management tech tools. But now with ClickUp 3.0 the Universal Search feature allows you to swiftly locate files across ClickUp, other apps, and your device. It's like having a personal assistant who knows exactly where everything is.

While this sounds awesome, you do need to be aware of the plan options for this new feature. There is a Private Universal Search (Business Plus Plan users) and a Shared Universal Search (Enterprise users) with the following apps currently available with the Private Universal Search:

  • Box
  • Dropbox
  • Google Drive
  • Figma

Now, if you are adding files to your tasks/documents then you and your team can view them, the universal search is for files that are not currently attached in ClickUp.

5. Customizable Task Types

This has been a long awaited option for me, and I'm sure quite a few other users out there. ClickUp 3.0 takes customisation to a whole new level with its Customisable Task Types feature. You can now create new task types to fully represent just about anything you want to manage in ClickUp - accounts, cases, backlog items, bugs, and more. This feature gives you the flexibility to tailor ClickUp to your specific needs.

To explain this more fully, all tasks previously have just been a Task or a Milestone. Now, you can create Task Types with a specific icon that can be use to suit your business process.

For me, in my ClickUp, I've created the following Task Types:
  • Product
  • Tech Tool
  • Offer
  • Funnel

In my opinion, ClickUp 3.0 is more than just an update - it's a game changer. With its unmatched reliability, intuitive features, and elegant design, it's set to redefine what we expect from project management tools. If you're looking for a way to take your project management to the next level, give ClickUp 3.0 a try. You won't be disappointed.
